Here's the state of play as of 10/12/17:
Between postings, texts, and (gasp!) face-to-face conversations, by my count we have seven people who prefer the beach house and are willing to pay $100 each, five people who are only willing to pay around $20 each, and three who are interested in WilMicroCon but haven't said how much they're willing to spend. There's also at least another six family and friends who might attend. I think we can count on at least 12 folks contributing $20 - $30 each, and possibly up to 20 or so. That gives us a budget in the $250 - $500 range.
So, it seems to me we're short of the critical mass we'd need to make the beach house happen, and at least for the inaugural WilMicroCon, we should be looking at CFG, or maybe another relatively cheap venue in town.
Movie Dave, do you know how much the Screen Gems studio charges? I'm imagining it'd be outside our budget, but you had mentioned it as a possibility.
Any other suggestions?

Update:
I got an email from Heath (Cape Fear Games) today. The weekend of Jan 13 is out - there's a major MtG release that day, and I think the're holding special events throughout the weekend. He said they normally don't do all day rentals of the whole back area, but he thinks he can make it work for the weekend of the 20th or the 27th, if we can give him a firm commitment on dates.
FYI: CFG's hours are 10 am - 11 pm on Saturday, and 12 pm - 10 pm on Sunday. So that's 23 hours combined. Plus maybe Friday evening, but I think that would be harder for CFG to swing, due to Friday Night MtG tournaments. The nominal rate is $5/hour for a game area. For all three areas, for 23 hours, we're looking at a nominal cost of $345. If we get a dozen firm commitments to share costs, that's just under $30 each - and at least 15 people in our circle have said they're interested. Obviously, the more people, the lower the per person cost.
I don't know the actual amount Heath would want - he might give us a bulk rate discount, but he might also charge a premium for tying up the whole area all weekend and inconveniencing basically every other gamer in Wilmington. It's probably going to be reasonably close to the nominal rate either way.
Also, the "cost" of "renting" the game rooms goes to store credit. We'd have to figure out exactly how to split the payments. If everyone wants to give me their share, I can pay the whole amount - but that's effectively everyone paying me, since it'd go into my store account. We could also individually pay the store, but that would be a lot of bookkeeping for them, and we'd need to make sure everyone actually paid the store beforehand, and not everyone in our group actually has a store account...

Also on CFG:
They have a store policy against outside food or drinks; with the "rental cost" actually going to store credit, they make their money off of the back rooms largely through selling snacks and drinks. They don't object to folks bringing in meals, but so if we order pizza for instance, we'd be fine. But if we bring in bottles of soda and bags of chips, that might cause some problems.

By my count, based on responses by Allen and Movie Dave, and knowing that the Apples would all be in, I have 10-11 yesses for the Kure Beach pink house. Am I off in this? If I am wrong, my second choice is CFG, but if we have 10 or more, then I say let's book MLK weekend at the beach!

I very well could be wrong, but I'm only getting to your count, Cheryl, by assuming that Allen and Emma are both willing to put in $100 each, and that the Brightbills are willing to put in $100 per clan member, while I was being conservative, and only counting explicit "yes"es. Also, if we go with the beach house, it raises some issues. How do we deal with folks that do not want (or simply cannot afford) a full share? Charge them for a day pass? How long are they allowed to stay? I'd personally really like to avoid disagreements and resentments over cost sharing, especially in a case like this, where there is a big split in the cost level people are willing to share. Four of those $20 votes, BTW, were strongly in favor of a small cost commitment, and just plain preferred CFG over the beach house. For something like the beach house, I was really looking for a consensus to move forward. But. I'm just one guy. I'm not the Game Dictator of Wilmington (even though I totally should be...). What does everyone else think?
