Ok, here's the latest from Heath at CFG. He's proposing charging $15/head, and giving everyone a $5 certificate that expires at the end of the weekend. That simplifies bookkeeping for them (and us), and basically charges us a premium for tying up the room all weekend.
Also, I'm looking into other venues. Most hotel conference venues are nearly as expensive as the beach house, or more so, and many have even more limited hours than CFG. There's some smaller rooms that we might be able to get for around $300 + taxes and fees for Saturday and Sunday. I'm still trying to get details, but it looks like they're probably a bit smaller than the CFG back area.

So, I can't find any other venues that would be available all weekend at anywhere near the price point CFG is offering.
After discussion with several people, I think we've got a rough consensus for CFG. In order to make this work, though, we need at least 12 firm commitments (the deal Heath offered us was based on the assumption we'd have at least 12 people, possibly up to 20+). Right now, I'm suggesting January 20-21**. Please let me know if you are able to commit to this date, and how many "tickets"* you'll be buying. Once I've got at least 12 folks who commit to buying a "ticket", I'll make the arrangements with Heath. BTW, just to reiterate, the deal Heath offered us was $15 per person, and everyone would get a $5 store voucher good for that weekend only.
Also, please chime in if you've got any other ideas.
*This isn't a formal convention, of course, so I don't think we're going to literally have tickets. **We could also do another weekend, but CFG won't be available for a full weekend rental until January, and the 13th (MLK Day weekend) is out due to a MtG release that weekend. Heath specifically suggested Jan 20-21 or 27-28 as being dates he could work with.

Derek has proposed a possible alternate venue. Apparently, his office at Mayfaire has conference rooms, which are separate from the actual workspace and in which they sometimes allow employees to host outside events. He may be able to borrow them to hold WilMicroCon. Derek, please chime in, but from talking to Derek, the advantages would be: - It would be free, vs. $15 a head at CFG (the $15 does include $5 store credit)
- We wouldn't be limited by store hours or CFG's store policies, such as for outside food and drink.
Frankly, I personally think the disadvantages outweigh the advantages. The disadvantages, as I see them, are: - It just makes me feel a little weird holding an event like this in someone else's office, even if we wouldn't be in the actual workspace.
- We'd be in a space set up for business conferences, vs. a space specifically set up for gaming.
- More importantly than the first two points, this plan would make us overly dependent on Derek, which wouldn't be fair to him, or everyone else. What if Derek gets sick? Or April does? Or any of a thousand other things happen which would interfere with Derek being able to be there for the whole time? I just don't think it's fair to anybody, but especially not to Derek, to basically require him to be there the whole time, and I really don't see how we could be there if he's not personally overseeing us.
- We'd be entirely dependent on the whims of the office management, with whom we, as a group, have no relationship.
They may decide they need the rooms for a client meeting, or to host an official office event, or just decide to change their minds. We can't expect them to schedule their work around our plans. - Finally, I think this is a situation where the perfect is the enemy of the good. I really appreciate Derek going to the effort of trying to find us a better, and cheaper, venue. But, I think CFG is good enough, and trying to coordinate a group this size, I think we're much better off just setting a definite date and location as soon as possible, so as many people as possible are able to schedule around it and attend.
We're pretty close to a consensus on using CFG, but I know Derek is reluctant until he can see if we can use his office instead, and at least a couple of people are also hedging until he gets a definite answer, which he said may take a couple of weeks. My preference is just to pull the trigger on CFG now. And, if Derek is able to secure the conference rooms at his office at some point, there's absolutely no reason why we can't hold WilMicroCon II there. Again, I'm not the Game Dictator of Wilmington (although, again, I really should be...). I'm just putting this out there for discussion.

Hi all,
Been behind on this the last week or so, but I think you summed it up well with your last post Dave. CFG will be great.
Maybe, since we are a private event, they can let us bring some outside food and drink? Pizza and beer on Saturday night would be great. I know they have had some sort of events like that in the past, and then we could support some of the CFG neighbors that on in his strip. Just an idea.
